How do i setup my dive hotel / resort to DiveShopManager ?

This is a bit more complex and will take a bit of time. So you don't want to do that in a hurry, take your time and follow the steps below. No worries it's a piece of cake.

1. Click " New Resort "
2. Answer " Yes "
3. Follow the steps prompted in the dialog box.

Note: If you don't want to answer one of the questions, leave the field empty and proceed with " OK ". This will leave the field empty and you can edit it later on

How do i enter my room categories ?

After you have setup your resort information ( if you have not done so yet please refer to the previous question) go to " New Room " click and answer " Yes " than follow the steps prompted in the dialog box.
When you have finished entering the rooms and categories, click " OK Rooms "

Note: This action may take a while. It can take up to several minutes, depending of the size of the dive resort you just entered. The system is building up the resort you just entered.
Please DO NOT interrupt this process!!

How do i enter the different seasons of the year ?

After you have setup the resort and have successfully entered the different room categories of your dive resort ( if you have not done so yet, please refer to the two previous questions in this section ) you can enter up to six different seasons and add the prices for each room category and season by first clicking the " Year " bar and select the year you want to work on. Next, click on the season bar to enter the start and ending date for your first season. Repeat the same on each season.
You can either select the date from the calendar or type the date manually.

How to add prices to my room categories and seasons ?

After completing the previous steps of your resort setup just click on the empty fields on your room category and season. Now enter the price into the dialog box. done.

How do i give my own room numbers into DiveShopManager

After completing all of the above steps you have finally reached the last step. Click on the first of the three tabs " Room 0 - 30 " than click on " Room ". In the dialog box you can rename all your room at once.
If your resort has more than 30 rooms, repeat the procedure on " Room 31 - 60 " and so on.

For the reservation software is that separate or in same packet? What would the prices for these be?

The reservation module is included in DSM
To enter your rooms, categories, seasons and prices click "Resort" on the start menu and follow the instructions.
The reservation module can be found in the customer invoice.

* You will first have to enter a customer to the system (or use the default 'first customer' to try)

* Click on New Invoice " to generate an invoice

* Click the resort tab and make the reservation. you need to have data from at least one hotel or resort entered previously else you will only see the 'First resort" dummy here.

I have many set packages 7 nights/ 6 days etc that may not include all nights at the resort some in transit on ferries. How do i enter this to DiveShopManager?

# Solution one - If those packages have each a price enter them to the article database as items. E.g. 7D/6N - Lombok Tour 400$ you can than select the package in the sales/rentals section of each customers invoice. You can use the article module for anything from coca cola to flight tickets and tour packages. (you can still discount each item in each invoice) See also chapter 9 in the user manual.

# Solution two - Use "Extern Resort" for other places than your own.(if you don't get or pay money for that particular overnight stay in transit on ferries) See also Chapter 5.4 in the user manual.

# Solution three - Use partners and partner resorts (if money is involved for that particular overnight stay in transit on ferries) Refer to chapter 2.7 of the manual.

Then how does the program know about days to reserve rooms for?

Room reservations are made from the customer invoice at the resort tab. Please refer to chapter 5 Hotel / Resort setup in the user manual.

For dive center and hotel software: If have made reservations and then as gets more and more full and need to move the reservations from one room to another to maximize occupancy. How do i do that?


In the customer invoice for resort, in either program, delete or change the old booking in the first line of the check in form, use the second line for the continuous booking.
Sounds weired, does it? Ok, For example you booked someone from the
01.04. 08 - 14.04.08 in room B102 / Resort A - and you need him/her to move out on
07.04.08 and move to room A 204 in Resort B
Simply change the checkout date in line 1 (best is to delete the entry and re enter the whole data new) to: 01.04. 08 - 07.04.08 in room B102 / Resort A
Than use line 2 for a second check in/out 08.04. 08 - 14.04.08 in room A204 / Resort B. (or in the same resort)
This can also be used for two rooms (Family) on one invoice or for two reservations (with a break) on one invoice. E.g. stays in the resort for two days, goes on a live aboard, comes back and stays another two days at your resort.

If have two guests in each room as usual how do I enter their data as for each room reservation can only enter one name. Some times we have friends sharing and want separate bills etc also more important so have both names on value list to enter into dive roster etc.

Enter both customers to the database for the use in diving, sales,rentals etc. Enter one of them to the resort. If they need separate printed invoices, print the invoice twice. Or do they get tax refund for that invoice so that the name on the invoice is relevant? Dividing the price for one room in two people will remain a task for your calculator. I would say that even in the biggest hotel with or without software it works that way. You only rent one room out for a certain period of time so there can only be one invoice for this room and this time period. No matter if there is one or eight people staying in that room.

Or If you need two invoices with each the customer name on it, you can always discount the resort 50% and make a quick invoice for the other 50% on the name of the second customer. Both invoices will than be transfered to the cash box and everything is fine.
